Host and participate in collaborative Vrex sessions

Vrex sessions bring teams together in shared 3D space. Learn how to host effective reviews and collaborate in real-time.

Session Types

Ad-hoc Sessions

Quick, unscheduled reviews:

  1. Open a project
  2. Click Start Session
  3. Share the invite link
  4. Participants join via link

Good for: Quick questions, impromptu discussions, small teams.

Scheduled Sessions

Planned reviews with calendar integration:

  1. Create the session in Vrex
  2. Set date and time
  3. Add participants via email
  4. Calendar invites are sent automatically

Good for: Formal reviews, large teams, external stakeholders.

Starting a Session

As Host

  1. Open the project you want to review
  2. Click Start Session
  3. Configure session settings:
    • Name: Give it a descriptive title
    • Access: Open (anyone with link) or Restricted (invite only)
    • Recording: Enable if you want to capture the session
  4. Copy the invite link
  5. Share via email, Teams, or calendar invite

Joining a Session

  1. Click the invite link
  2. Vrex opens to that session
  3. Wait in the lobby until admitted

Via Lobby

  1. Open Vrex
  2. Look for Active Sessions in your project list
  3. Click to join

Collaboration Features

Voice Chat

Built-in voice communication:

  • Automatically connected when you join
  • Push-to-talk or open mic (configurable)
  • Spatial audio in VR (voices come from avatar positions)

Participant Avatars

See where others are looking:

  • Colored avatars represent each participant
  • Name labels identify who’s who
  • Eye direction shows what they’re examining

Laser Pointers

Point at things during discussion:

  • Select the laser tool
  • Hold trigger to activate
  • Everyone sees your laser in real-time

Shared Views

Guide participants to specific locations:

  1. Navigate to the area you want to show
  2. Click Share View
  3. All participants teleport to your location

Drawing & Markup

Create annotations in 3D:

  • Surface drawing: Stick to walls, floors, objects
  • Air drawing: Float in 3D space
  • All participants see drawings in real-time
  • Drawings persist until deleted (but don’t save after session)

Running an Effective Session

Preparation

  • Test the session 10 minutes early
  • Prepare an agenda or walkthrough route
  • Pre-load the model if it’s large
  • Share the invite link in advance

Structure

  1. Introduction (2 min) - Who’s here, what we’re reviewing
  2. Guided walkthrough (15-30 min) - Host leads through key areas
  3. Free exploration (10-20 min) - Participants investigate independently
  4. Regroup (10 min) - Gather findings, discuss issues
  5. Decisions & next steps (5 min) - Document outcomes

Best Practices

  • Keep it focused - one project or topic per session
  • Time-box discussions - don’t let one issue dominate
  • Document decisions - take screenshots, add notes
  • Follow up - assign action items before ending
